The Corporate Legal, Ethics & Compliance Department oversees all corporate legal matters (in the broad sense of the term) supporting the operation of the various Fluxys Group business activities. You will help organise, manage and track corporate housekeeping for the various Fluxys Group companies.
The Corporate Legal, Ethics & Compliance Department at our head office in Brussels is looking for a Corporate Legal Assistant (m/f/x).
You will be involved in all (administrative and digital) aspects of the Corporate Legal, Ethics & Compliance Department and will provide support for corporate housekeeping.- You will organise meetings of the Board of Directors, related committees and annual general meetings of the various companies and ensure proper follow-up
- You will prepare minutes, reports and annual reports
- You will handle changes of directorships in Fluxys Group subsidiaries
- You will manage and organise management meetings
- You will prepare various (legal) documents, and will monitor and check signing authorities (such as powers of attorney and written decisions)
- You will be responsible for proofreading and checking documents.
- You will fill in KYCs and UBOs and will be responsible for following up on, looking for and collecting the necessary information
- You will maintain contacts with notaries and lawyers for day-to-day questions.
- You will request extracts from the Belgian central business registration database (KBO/BCE) and other databases
- You will handle bank certificates
- You will deal with publications
- You will provide support for various projects, such as the implementation of KYC tools and processes, corporate housekeeping and contract tools and access to government sites (CSAM, eBox, My Minfin, etc.)
- You hold a paralegal degree or have proven experience in administration with a desire to work in a legal department.
- You can communicate effectively with various stakeholders, including directors, managers, shareholders, partners, government authorities, notaries and lawyers
- You speak one of the national languages fluently (French/Dutch) and have at least a good passive knowledge of the other one. You also have a good command of English, both written and spoken.
- You have excellent writing skills. You are digitally minded and have good digital skills
