The Health, Safety, Environment & Quality (HSEQ) Department ensures, throughout the group, the safety of people, the integrity of facilities and regulatory compliance across all of the group's activities. It guides the integrated management system (SMS), provides for regulatory monitoring, coordinates audits and manages emergency plans.

On the environmental front, the department plays a key role in achieving the group's climate goals.

Our HSEQ Department at our head office in Brussels is looking for an Management Assistant (m/f/x).

Job purpose

The Management Assistant supports the daily operations of the HSEQ Department by ensuring efficient and structured administrative follow-up of activities, documents and communications. The role provides cross-functional support to the entire department (comprising around 30 employees) by helping the Head of HSEQ manage their agenda and assisting the teams in meeting their operational and administrative needs.

The Management Assistant also contributes to the quality of documentary processes and the reliability of the department's performance indicators, thus guaranteeing the continuity and efficiency of the department's work.

Your responsibilities

You will be responsible for carrying out the HSEQ Department's admin tasks, including:

  • managing the agenda of the Head of HSEQ and the department, ensuring effective prioritisation of tasks and communications
  • dealing with the logistical coordination of business trips (flights and hotel bookings) and equipment orders for the department
  • providing secretarial support for meetings, including note-taking and action tracking
  • actively participating in the review and periodic updating of procedures and instructions documented on our intranet, making sure that they comply with current templates and branding
  • collecting, logging and processing the data needed to produce HSEQ key performance indicators (KPIs), following up with the relevant entities and preparing monthly dashboards for HSEQ coordination meetings
  • You will also serve as a proactive interface with the various entities of Fluxys Belgium as well as with the teams of Fluxys Group when it comes to gathering information and monitoring HSEQ actions
About you
  • You hold a bachelor's degree in an administrative field or have equivalent experience
  • You have at several years’ experience in a similar role
  • You can work both in a team and independently
  • You are organised, have a sense of initiative and are meticulous and efficient in your wor
  • You pay close attention to detail and have an analytical mind. You can easily handle a wide range of tasks and large quantities of information
  • You are fluent in French with an excellent command of Dutch, or are fluent in Dutch with an excellent command of French, and also have basic knowledge of English
  • You are familiar with the MS Office suite and can quickly learn and master new software when required
