Energy Transition Project Assistant

Our BD & M&A Division is looking for a Energy Transition Project Assistant (m/f/x).
Job purpose
As a Project Assistant, you will provide essential administrative support to the Business Development & M&A department to facilitate the development and monitoring of Fluxys’ strategic and long-term projects. You will contribute to the effective management of subsidised projects, the compliance with reporting requirements and the smooth running of the department, and provide efficient and structured support to both the department and the team.
Your responsibilities
The BD & M&A Division manages new projects centred around Fluxys' future (e.g. building new pipelines for green hydrogen). As we are launching more and more green projects, we are looking for someone who can provide administrative support for our activities in the following areas:
Time registration
Project staff meticulously record the time they spend on each grant project. You will coordinate this process by serving as the point of contact within the organisation for all questions regarding time registration, following up on monthly time registration and managing the time registration application with the help of the ICT team
Grant reporting
Fluxys receives grants for various projects for which we report periodically to Flemish, federal or European authorities. You will support this process by collecting time registration documentation, evaluating this documentation against the grant criteria, completing reporting documents from the grant authorities and supporting external audits
Executive assistance
You will provide continuous support to the Head of Business Development Global (as well as the Senior VP Business Development & M&A should his Executive Assistant be absent or during busy periods) by taking care of the agenda (organising internal and external meetings), arranging business trips, following up on purchase requisitions (PRs) and purchase orders (POs) and processing expenses, providing administrative and organisational support in various areas, and implementing time registration as well as checking time registration by employees of the Head of Business Development Global (as well as the Senior VP Business Development & M&A in the event of his Executive Assistant's absence)
Team admin support
You will also provide the members of the BD & M&A Division team with admin support (managing recurring meetings (e.g. the BDMA Division Meeting), organising meetings, booking trips, recording visitors, etc.) and drawing up PRs and POs for the use of new services or equipment for BD projects
About you- You have a bachelor's degree (in administration or a similar field) or an A2 diploma. Some professional experience would be an asset
- You speak Dutch, French and English
- You are proficient in Microsoft Outlook and Excel, including complex and structured Excel files, and you feel comfortable in a digital work environment
- You are good with numbers and are meticulous and structured in your work, with an eye for detail and quality; working without error is second nature to you
- You have strong organisational skills, work well with structure, and correctly and consistently follow administrative processes
- You are fluent and professional in your communications, and good presentation and attitude are important to you
- You are not shy, are willing to ask questions and proactively gather information from colleagues and senior stakeholders
- You are motivated, eager to learn and take on responsibility in your work
