Are you an experienced administrative professional looking for a meaningful and high-impact role in a dynamic, European-level organisation? A Brussels-based institution is seeking an Executive Assistant / Office Manager to support their Operations team during a 12-month interim assignment.

You will play a key role in ensuring operational continuity, administrative efficiency, and smooth coordination across internal and external stakeholders.

Your Responsibilities :
As Executive Assistant / Office Manager, you’ll provide hands-on, proactive support to the Unit Manager and team members. Your day-to-day will be varied, and your contribution will be essential to the team’s success.
  • Organise meetings, manage agendas, and ensure effective follow-up
  • Prepare and format documents, reports, and presentations
  • Maintain internal filing systems and update operational procedures
  • Coordinate logistics for internal and external meetings and committee sessions
  • Support internal communication and website content updates
  • Manage the Unit Manager’s inbox and calendar
  • Assist with invoice tracking and administrative follow-up
  • Help coordinate internal events and contribute to company-wide initiatives
  • Provide backup support to other assistants as needed
Your Profile :
We’re looking for a capable, reliable and service-minded professional who thrives in a structured, mission-driven environment.
  • Minimum 3 years’ experience in administrative or executive assistant roles
  • Strong organisational and coordination skills
  • Experience with external stakeholder management is an asset
  • Excellent command of English (spoken and written)
  • Proficiency in Microsoft Office tools (Word, Excel, Outlook, PowerPoint)
  • Comfortable working on multiple projects simultaneously
  • Proactive, flexible, and solutions-oriented mindset
  • Team player with strong interpersonal and communication skills
